Shift Handover Checklist: Template and Best Practices

A shift handover checklist is a short, structured list the outgoing shift completes — and the incoming shift acknowledges — at every shift change. It captures open issues, equipment faults, stock gaps, safety concerns, and unfinished tasks so that nothing depends on memory or a hallway conversation. A good handover takes under fifteen minutes and is signed by both shift leads, turning the most vulnerable moment of the operating day into a documented, two-party exchange.

Shift changes are where operations leak. The fryer that "was making a noise this morning," the delivery that arrived short, the customer promised a callback — each is obvious to the person who experienced it and invisible to the person who inherits it.

Why handovers fail without a checklist

Most sites already do some kind of handover. The problem is that an unstructured handover transmits whatever the outgoing lead happens to remember, filtered by how tired they are and how quickly they want to leave. Three failure patterns show up everywhere:

  • The rushed exit. The outgoing lead is at the door with their coat on. Handover becomes "all good, see ya," and the incoming shift discovers the walk-in fridge alarm an hour later.
  • The verbal-only handover. Information passes but leaves no record. When the issue resurfaces two days later, nobody can establish who knew what, when.
  • The one-way note. A scrap of paper left by the till. Nobody confirms it was read, so it carries no accountability in either direction.

A checklist fixes all three because it defines what must be communicated, forces the exchange to happen before the shift formally ends, and records both parties.

A handover is not finished when it is written. It is finished when it is read and acknowledged.

The shift handover checklist template

Copy this and adapt the wording to your operation. Aim to keep it under 20 items.

Operational status

  1. Open customer issues or complaints, with the promised next step
  2. Tasks started but not finished, and exactly where they stand
  3. Deliveries received — anything short, damaged, or rejected
  4. Stock items running low that the next shift will need
  5. Any deviation from today's plan (menu changes, promotions, closures)

Equipment and environment

  1. Equipment faults, workarounds in place, and whether a repair is logged
  2. Temperature checks completed and any out-of-range readings
  3. Cleaning tasks due but not yet done

Safety and people

  1. New hazards noticed this shift (spills, damage, blocked exits)
  2. Incidents or near-misses logged, with report reference
  3. Staffing notes — who is in, who called off, agency cover arranged
  4. Anyone new on shift who needs supervision or has restrictions

Money and security

  1. Till or float position and any variances found
  2. Safe drop completed and logged
  3. Keys, fobs, and devices accounted for

Sign-off

  1. Outgoing lead name, signature or ID, and time
  2. Incoming lead name, signature or ID, and time

Best practices that make it stick

Make it two-party, always

The single highest-leverage rule: the handover is not complete until the incoming lead has acknowledged it. This changes the psychology on both sides. The outgoing lead writes for a real reader; the incoming lead can no longer claim they were never told. If your handover currently has one signature line, add a second.

Handover the exceptions, not the routine

A handover that says "everything normal" fifteen times buries the one line that matters. Structure the checklist so routine items are quick confirmations (done / not done) and exceptions demand detail. The reader should be able to scan the sheet in thirty seconds and know exactly what is abnormal.

Fix the timing, not just the content

Schedule the handover to start fifteen minutes before shift end, with overlap built into the rota where possible. A handover done after the outgoing lead has clocked out is a favour; a handover done inside paid time is a duty. This is the same principle that makes opening and closing checklists work — sequence the checklist into the shift rather than bolting it on.

Attach evidence to anything disputed

Faulty equipment, short deliveries, damage found: a photo attached to the handover item ends arguments before they start. When shift A photographs the cracked display fridge door at 14:02, shift B never gets blamed for it. This is a small application of a bigger idea — photo evidence makes "done" and "found" verifiable rather than arguable.

Keep a searchable trail

Paper handovers vanish into a drawer. When the same fridge fault appears in six consecutive handovers, that pattern is the real finding — but only if someone can see six handovers side by side. Keep handovers where a manager can review a week at a glance, and make recurring items a standing agenda point in weekly manager reviews.

Adapting the template by industry

The skeleton above works anywhere; the emphasis shifts by setting.

  • Restaurants and cafés: weight the food safety lines — temperature logs, allergen prep notes, anything in the danger zone of 5–60°C (41–140°F) — and prep levels for the next service.
  • Retail: emphasise deliveries, till variances, promotions ending or starting, and fitting-room or shrinkage observations.
  • Hotels and facilities: room or area status, contractor work in progress, guest situations, and master-key accountability.
  • Healthcare-adjacent and pharmacy: controlled-stock counts and cold-chain readings move to the top and become non-skippable.
  • Warehousing and fleet: vehicle defects, dock status, and unfinished picks, with defects cross-referenced to inspection reports.

If you run several formats under one brand, keep the sign-off block and the exceptions-first structure identical everywhere, and vary only the middle sections.

Common mistakes to avoid

  1. Letting the handover grow past one page — long handovers get skimmed, then skipped.
  2. Allowing "nothing to report" as a single tick for the whole sheet.
  3. No named owner for items raised — an issue handed over without an owner is just gossip with a timestamp.
  4. Treating the handover as a shift-lead ritual only, with no manager ever reading them.
  5. Using a different format per location, which makes cross-site patterns invisible.
